2. Scope

This Policy applies to all services offered by Dixeloid Solutions, including but not limited to:

3. Project Confirmation

A project is considered confirmed once the following have taken place:

  • The proposal or quotation has been formally accepted by the client
  • Any required documents, briefs, or specifications have been received, where applicable
  • Any agreed advance payment has been made

Once a project reaches confirmed status, the cancellation and refund terms set out in this Policy apply.

4. Cancellation Before Work Begins

Clients may request cancellation of a confirmed project before any development, design, or other project work has started. In such cases:

  • Administrative, consultation, or planning charges may be deducted where applicable, reflecting time and resources already spent on the enquiry, proposal preparation, or project planning
  • The remaining amount, if any, will be refunded in accordance with Section 12 of this Policy

5. Cancellation After Work Has Started

Once project work has commenced, the following applies:

  • Refunds are generally not available for work that has already been completed
  • Charges will apply for all work performed up to the point of cancellation, including development, design, planning, and coordination effort
  • Payments due for any completed project milestones remain payable, regardless of whether the project continues beyond that milestone
  • Where appropriate and after settlement of any outstanding dues, partially completed work or deliverables may be provided to the client

6. Custom Development Services

Software, website, and application development undertaken by Dixeloid Solutions is customized specifically for each client's requirements. Because of this, the following categories of effort generally cannot be refunded once work has begun:

  • Development hours spent writing or configuring code
  • Project planning and requirement analysis
  • System architecture and technical design work
  • Research undertaken specifically for the project
  • UI/UX and visual design work
  • Testing and quality assurance activities
  • Implementation, deployment, and integration work

This approach reflects standard practice across the custom software development industry, where effort and resources are committed to a client's specific project from the outset and cannot be resold or reused for another engagement.

7. SEO Services

For clients engaging our SEO services, please note the following:

  • SEO is an ongoing, continuous process rather than a one-time deliverable
  • Search engine rankings, traffic, and outcomes cannot be guaranteed, as they depend on factors outside our control, including third-party search engine algorithms
  • Optimization work that has already been completed for a given billing period is non-refundable
  • Monthly SEO retainers may be cancelled in accordance with the notice period agreed at the start of the engagement

8. Website Maintenance Plans

For clients subscribed to a website maintenance plan:

  • Maintenance subscriptions may be cancelled at any time, effective from the next billing cycle
  • Amounts paid for maintenance periods that have already commenced are generally non-refundable, as resources are reserved and services made available for that period regardless of usage
  • Any emergency or ad-hoc work already completed during a maintenance period remains chargeable, even if the plan is subsequently cancelled

9. Delays Caused by Client

Timely project delivery depends on active client participation. If delays occur because the client does not provide:

  • Required content, text, or media
  • Timely approvals or feedback
  • Necessary credentials or access
  • Other information required to proceed

the project schedule may be extended accordingly, and Dixeloid Solutions shall not be held responsible for resulting delays. If a project remains inactive for an extended period due to client inaction, Dixeloid Solutions may, after providing reasonable notice, close, archive, or reschedule the project. Reopening or resuming an archived project may be treated as a new engagement, subject to applicable charges.

10. Change of Scope

Requests that significantly alter the originally agreed project scope — such as additional features, design changes, or new functionality not covered in the original proposal — may require:

  • A revised quotation reflecting the updated scope
  • Revised project pricing
  • Revised delivery timelines

We will communicate the impact of any significant scope change on cost and timeline before proceeding with the additional work.

11. Company-Initiated Cancellation

Dixeloid Solutions reserves the right to cancel or terminate a project or service engagement in circumstances including, but not limited to:

  • Abusive or threatening behavior towards our team
  • Fraudulent activity or misrepresentation
  • Requests for illegal or unlawful work
  • Non-payment of due amounts
  • Repeated violation of the agreed Terms & Conditions

In such cases, where reasonable and appropriate, any prepaid amounts corresponding to work not yet performed may be refunded after deducting legitimate charges for work completed, administrative costs, and any costs incurred as a result of the circumstances leading to cancellation.

12. Refund Processing

Where a refund is approved:

  • It will be processed using the original payment method, wherever reasonably possible
  • Reasonable processing time may be required to complete the refund
  • Delays caused by banks, payment gateways, or other financial intermediaries are outside the control of Dixeloid Solutions, and we shall not be held responsible for such delays

13. Non-Refundable Items

The following are generally non-refundable, regardless of the stage at which a project is cancelled:

  • Completed software development work
  • Completed design work
  • Completed SEO work
  • Consulting sessions already conducted
  • Domain registrations
  • Hosting purchased through third-party providers
  • Software licenses purchased on behalf of the client
  • Third-party subscriptions or tools procured for the project
  • API usage charges
  • Cloud service fees
  • Payment gateway charges, where applicable

14. Exceptional Circumstances

We understand that unique or exceptional circumstances may occasionally arise. In such cases, refund requests may be reviewed individually at the sole discretion of Dixeloid Solutions.


Consideration of an exceptional refund request does not create an automatic right to a refund, and any decision made will be based on the specific facts of the situation.
